How to do it:

Flow state, often described as being “in the zone,” is that magical condition where you’re fully immersed in what you’re doing. Time seems to fly by, and your best ideas and work emerge almost effortlessly.

We all have natural energy cycles throughout the day. Instead of fighting these patterns, design your work schedule to harness them:

  • I’m a morning person, so I reserve my mornings for deep work and client interactions
  • No calls after 4pm when my mental sharpness naturally declines
  • Later hours are dedicated to lower-cognitive activities like physical tasks or relationship-building

This simple calendar restructuring dramatically improved both my productivity and happiness.

3. Work in Sprints, Not Marathons

The human brain isn’t designed for hours of uninterrupted focus. Instead:

  • Work in focused 60-90 minute blocks
  • Take short, intentional breaks between sessions
  • Use micro-transitions (even 30-60 seconds) to reset between meetings

Even on my busiest days with back-to-back appointments, I ensure at least 3-4 minutes between calls. I’ll stand up, do a few quick exercises with the weights I keep in my office, and perform a brief meditation to recenter before the next engagement.

4. Integrate Strategic Self-Care

Self-care isn’t just about bubble baths and massages—it’s a business strategy. When we fill ourselves up outside of work, we bring more creativity, patience, and insight to our businesses.

I discovered that when facing business problems, stepping away from my desk to visit my horses often led to breakthrough solutions. The change of environment and engagement in an activity I love created the mental space for solutions to emerge naturally.

This realization flipped my perspective: I wasn’t taking time away from work; I was strategically creating conditions for better work.

The Productivity Paradox

Here’s the counterintuitive truth many successful entrepreneurs discover: working less often leads to accomplishing more.

Research consistently shows that happiness precedes success, not the other way around. When we’re in a positive state—rested, fulfilled, and engaged in work that leverages our strengths—we perform better across every metric that matters.

Practical Implementation: Avoiding Overwhelm

To maintain flow state, we must guard against overwhelm—which often stems from overscheduling. Two practical approaches:

  1. The ABCD Priority System:
    • A: Tasks that move the needle forward today
    • B: Important but not needle-moving tasks
    • C: Tasks that can wait
    • D: Tasks to delegate
  2. Time Blocking: Map out how long each task will realistically take. If you run out of hours in the day, you’re overscheduled—period.

While I personally prefer a hybrid approach with some flexibility in my day, the principle remains: realistic scheduling is essential for maintaining flow.

Your Path to Sustainable Success

Hustling yourself into burnout isn’t the path to business bliss or sustainable success. By tapping into your natural flow state and structuring your work accordingly, you can achieve substantially more while experiencing less stress and more joy.

Start by identifying one task in your business that consistently feels like a struggle. Could you delegate it to someone who would thrive doing it? Could you pair it with an activity you enjoy to make it more palatable? Or could you restructure when you tackle it to align with your natural energy patterns?

Remember: you’re in this for the long haul. Building a business is challenging enough without making it harder through unsustainable work practices. By honoring your natural flow state, you can create success that’s not just impressive but also deeply satisfying.

One of my favorite things we do in my business is our “Wins” channel in Slack. Whenever someone achieves something—no matter how big or small—we celebrate it together. It fosters a culture of support, positivity, and gratitude. This kind of leadership turns a workplace into a family—not necessarily the one we were born into, but the one we choose to build.

Stress and burnout can cloud your ability to lead with love. Nutrition plays a key role in managing stress levels, and something as simple as incorporating healing foods can make a big difference.

Take the mango, for example. This vibrant fruit is packed with phytochemicals and amino acids that help calm the nervous system, reduce stress, and even improve sleep. Plus, mangoes teach us something valuable about leadership—they thrive in extreme heat, yet they remain sweet and nourishing. Just like a mango withstands the sun’s intensity, we, too, can develop resilience while maintaining kindness and love in our leadership.

So, if you’re feeling overwhelmed, grab a mango and remind yourself that you have the power to stay calm and collected—even in high-pressure situations.
